World Boardgaming Championships (WBC) Event Form

Updated October 29, 2025

Thank you for your interest in running an event at WBC!

WBC 2026 will be using three separate spreadsheet based event forms, one for Trial events, one for CenturyGroup (Century/Legacy) Events, and one for Exhibitor/Sponsor/Vendor. The Event Description page and the GM Guidelines page have been updated to help potential GM's and players in understanding events held at WBC including event type, event class, event formats, and event styles. A summary of the submission timeline and the new submission process is below.

NEW FOR WBC 2026: In order to accommodate and allow members who cannot attend all nine days of the convention to participate in tournaments, it is highly recommended that events using the Heats format schedule their event as follows:

  • Heat events with a Quarterfinal have event completed within 5 days from start to finish
  • Heat events without a Quarterfinal have event completed within 4 days from start to finish

If you have any questions, during the submission process, please contact the WBC Convention Director at conventiondirector@boardgamers.org.

2026 WBC EVENT FORM: The forms are spreadsheet based forms with Drop Down Menus for most selections.

  • Trial Event Form: Download the WBC 2026 Trial Event Form (excel; 10/29/25), fill in all fields (using Drop Down where applicable), and email the completed form along with your Event Description (Word format preferred) for the Preview Page to the Convention Director by the submission deadline. You will receive an email confirmation from the Convention Director within 72 hours of submission. You must become a BPA Member during the Initial Membership Drive (December 4, 2025 through January 31, 2026) if you submit a GM form for a trial event.
  • Century Group (Century/Legacy) Event Form: Download the WBC 2026 Century Group Event Form (excel; 10/29/25), fill in all fields (using Drop Down where applicable), and email the completed form along with your Event Description (Word format preferred) for the Preview Page to the Convention Director by the submission deadline. You will receive an email confirmation from the Convention Director within 72 hours of submission. You must be a current BPA Member to submit a GM form.
  • Sponsor/Vendor/Exhibitor Event Form: Download the WBC 2026 Exhibitor/Sponsor/Vendor Event Form (excel; 10/29/25), fill in all fields (using Drop Down where applicable), and email the completed form along with your Event Description (Word format preferred) for the Preview Page to the Convention Director by the submission deadline. You will receive an email confirmation from the Convention Director within 72 hours of submission. You must be a current BPA Member to submit a GM form.
  • GAME PUBLICATION DATE: Any Game submitted (or expansion included) on an event form must be published and available to the public by February 28, 2026.

QUARTERFINAL REQUIREMENTS: All scheduled quarterfinal Rounds must be approved by the Convention Director in advance and must appear in the schedule. Requests can only be made when the number of players participating in the tournament during the previous year warrants it. Quarterfinal Rounds MAY NOT be inserted ad-hoc regardless of the number of entrants.

A new process was implemented at WBC 2024 for HWO event submissions regarding requesting a Quarterfinal (QF). This process remains in effect for WBC 2026

The process for HWO events allows the GM to submit a request for a quarterfinal. Provided it has either A) drawn 64 or more unique players; or B) had 25 or more unique winners. If an event meets both of these requirements, the CD will automatically approve the request. If only one of the criteria is met, the CD will review the request. With this change, the event submission form now includes four additional items that are required if a QF is requested. These items are 1) Prior Year number of unique winners, 2) Historical average of Unique winners, 3) Prior Year number of double winners, and 4) Historical average of double winners. This data will assist in the approval process of a QF request.

SCHEDULING CONSIDERATIONS: The following must be considered when requesting your scheduled time:

    • Will you be running your event continuous or scheduled
    • No Round/Heat may begin before 9 am or start after 11 pm
    • No events can be scheduled before 2 pm on Tuesday due to the Auction/Auction Store. Continuous events may continue during these times.
    • No Round/Heat may start after 12 pm on the second Sunday
    • All events that request four Heats must have one of the Heats scheduled at 9 am. Only events which ran 4 heats at WBC 2025 will be allowed to run 4 heats at WBC 2026
    • GMs of Trial Events are encouraged to indicate desired days and times for their event. However, BPA will schedule the event as facilities permit.
